As more media outlets cut back on the size of their news staff, they are seeking more videos provided by eyewitnesses or experts. This is where you come in… and this creates a huge opportunity for you. I am publishing this series of tutorials to show corporate spokespeople, public information officers (PIOs), emergency managers and public relations professionals that uploading your own videos to the web during your crisis needs to be a part of your crisis communications strategy. The ultimate goal is for a major media outlet, such as CNN, to view your video and reach out to you to seek your official information.
These days, they will likely ask you to be interviewed via Skype.
If you are unfamiliar with Skype, visit www.skype.com and download the free application for you computer, smart phone and smart tablet.
The app allows you to make regular phone calls to regular telephone numbers, or it allows you to make a call from computer to computer with voice only, or you can set up a video chat from computer to computer.
CNN and the other news outlets want you to know how to set up the video chat.
Start by downloading the app. Next, set up your profile. Much like most social media sites, you can add your contact information and a photo.
CNN producers will then either call you or ask you to call them at an assigned time, during the news program. When it is time to go live, your Skype call is what the audience at home will see.
The quality of the image on Skype varies, based on the strength of your internet signal. Sometimes the image may freeze while you are live on the air. Sometimes the call will get dropped completely.
The networks know they are taking a risk when they do a Skype call, but if your location and event is news worthy and they have no news crew of their own nearby, they are willing to take the risk.
In one of my previous tutorials I mentioned that a set of ear buds or a USB headset can be useful during your live report. If you use these, you will need to find the audio button on the Skype software and select input and output for the headsets, rather than using the computer or smart device’s external speakers and microphone.
The secret to getting it right is to practice on a clear sunny day, rather than attempting to learn the hard way under the time constraints of a crisis and significant news event. Set up your account, study the account until you know all of the buttons you need to push, then establish a call between you and a colleague so you can practice.
During your practice, you’ll want to incorporate many of the other lessons you’ve learned through these tutorials, including managing audio, lighting and movement, as well as what to say.

Out of all of the people that CNN could put on television, why would they pick you? What can you share that is newsworthy?
This is an important question to ask. The answer may be easier to understand when I explain how and why I became the guy who was broadcasting live from my front porch during Hurricane Isaac in 2012.
Over the next few days you will learn the background story of how I was selected by CNN.
With 7 feet of floodwater surrounding my home and no electricity for 5 days during Hurricane Isaac, I was able to broadcast live to CNN using only my iPhone, G3 and Skype. Amid the rain, heat, waves, snakes, alligators, debris and dead animal carcasses, I kept broadcasting.
Because of the reports I filed from August 26-September 2, 2012, CNN producers chose my reports out of all the reports filed by 11,000 iReporters in 2012, to be recognized for continuing coverage of breaking news. The reports were seen both on the CNN iReport website and they were broadcast by CNN and HLN to viewers around the world.
These reports took viewers into places that even CNN news crews couldn’t reach with their million dollar satellite trucks and $60,000 HD cameras.
I have been a CNN iReport evangelist since the program began. During 4 major weather events my iReports have been broadcast on CNN and on multiple occasions have lead to live broadcasts.
The first time was when I witnessed a funnel cloud during Hurricane Gilbert. I simply uploaded a short video with no narration to iReports. CNN showed it, then my phone range. A friend in California called to warn me there were tornadoes near me and he had just seen it on CNN. Ha. Funny how that worked.
On December 11, 2010 we had an unusual 5 inch snow fall in the town I live in, near New Orleans. I had not sent out Christmas cards yet, so with my point and shoot camera I produced a short news video about the snow, then wished everyone Merry Christmas. I uploaded the video to iReports. Their producers vetted the report and confirmed it was real. They edited off my Christmas greeting, then used the rest of the video all day long to run before every weather report. That was really cool.
CNN asked me to do a live report via Skype, but that got canceled because of breaking news. That was the day the body of Caylee Anthony was found in the woods, leading to the murder trial of the child’s mother, Casey Anthony.

In August of 2011, Tropical Storm Lee came through New Orleans and my little town of Mandeville, LA. A week before, I had moved into a new house on the shore of Lake Pontchartrain. The storm surge filled my yard with 5 feet of water. Using my iPad and Wi-Fi, I shot a 90 second news report, then uploaded it to iReports. Within minutes, producers were asking me to do live reports. So with an iPad as my broadcast camera and Wi-Fi as my broadcast channel, I was on the air for 2 days.
These 3 events set the stage for Hurricane Isaac in August 2012 and the series of reports for which I was nominated. You will learn more details in our next article.

In your public relations and communications role, which are you? Are you a rug or a flying carpet?
My dream is for you to soar as a PR expert, being both a thought leader and a brilliant, innovative, practitioner of your craft. My fear is that you let the so-called leaders in your company walk all over you, dictating what you can and can’t do.
Here are 6 questions to help you determine the answer, if you don’t know it already:
#1 Do your corporate leaders comprehend the monetary benefit of what you do OR do they see you as a financial burden?
#2 Do you hear “no” so often that you are feeling defeated and underappreciated? OR do you get summoned on a regular basis to serve as strategic council?
#3 Is it hard to focus on your tasks and know what your goals are because your leaders spontaneously throw new tasks at you? OR Do your leaders give you room to develop a communications plan with strategic goals and editorial calendars?
#4 Are you in constant reactive mode to emerging issues and crisis communications? OR do your leaders encourage preparation by having a crisis communications plan tested with crisis communications drills?
#5 When it is time to do a media interview, do you hold your breath fearing what your leaders may blurt out to a reporter? OR do your leaders willingly participate in media training and actively prepare for an interview?
#6 Do your leaders lump together tasks such as marketing, graphic design, internal communications, public relations and social media? OR do they recognize that unique talents and skills are needed to properly master each task?
If you are agreeing with the negative premises above, then you are a rug. You allow your employer to walk all over you. You are in a low place. You probably hate your job. Chances are you need to hire a headhunter and find a new job.
If you are agreeing with the positive premises above, then you are a flying carpet who can soar in your career. The sky is the limit. Life is good and rewards will follow.
Life is too short to be unhappy. The decision to control your happiness should be in your hands and not the hands of someone else.

In yesterday’s blog we talked about the impact a bad media interview can have on a spokesperson, whether it is a candidate running for office or a corporate executive. In the article, we examined presidential candidate Jeb Bush and his interview with Fox News.
What we see in this example is that a bad answer that makes headlines one day extends into more news cycles the next day. Rather than being able to focus on current issues and moving the conversation forward, Bush has to repeatedly focus on his past statement. This is a problem that many political candidates fall into. Bush is not the first and he will not be the last.
When your goal is to drive forward as a CEO, an executive, or a businessman or woman, it is difficult to see the road ahead when you have to deal with what is in your rear view mirror. Don’t let one misplaced statement harm your reputation or revenue.

The crisis communications lessons being discussed on stage serve as a reminder to everyone in the C-Suite, in emergency response, and in public relations, that news travels fast. The faster the news travels, the faster a corporation must respond. Smart phone technology and social media are changing the rules for both corporations and the media.
Now is also a good time to compare your traditional approach to crisis communications with what should be your new normal. The emphasis in that sentence is the word NEW combined with NORMAL.
What got ‘ya here won’t get ‘ya there could be the best advice I can share. Yet many industries have traditionally failed to successfully get to the old normal, much less embrace the new normal.
Traditionally, many chemical and heavy manufacturing companies operate without a public relations employee or team. Some have one public relations person while others have several. It really depends upon the size of the company. But regardless of the whether you have a public relations staff or not, corporate crisis communications often takes a back seat to emergency response. Furthermore, news releases are often delayed by executives who excessively scrutinize each word and comma. Sometimes delays are caused by lawyers who oppose the concept of the news release.
Many chemical companies also make the mistake of delegating all of their crisis communications to law enforcement, following the guidelines of the National Incident Management System (NIMS). While police can be effective in communicating precautions or evacuations from a chemical crisis, the flaw with NIMS is that law enforcement spokespeople are not able to communicate empathy on behalf of the company.
The most frightening case study I’ve observed regarding the chemical industry, involves the media, social media, and crisis communications. On the morning of June 13, 2013 there was a tragic explosion and fire at the Williams Olefins Chemical plant in Geismar, LA, about 50 miles from my home, which killed 2 workers and injured more than 100. Before the company had a single news release issued, or before they provided any images or videos posted to the web, someone published a Facebook page with more details than the chemical company ever gave.
My research indicates it took nearly three hours for the company to put up an official news release on their website. The goal I would ask any corporation to aim for is to have an official news release on your website within one hour or less.
One hour is a reasonable goal if you recognize that you don’t have to know everything or state all of the facts in your initial release. It is perfectly acceptable for you to publish a few facts at a time as you get them. That is why in my presentation today I strongly recommended that people use my first critical statement as a fast alternative to writing a formal press release. Industry leaders and executives should keep in mind that eye witnesses to an event are posting images, rumors or details to social media as soon as a crisis happens. This means that your one hour news release may still be 59 minutes behind the first eyewitness account. However, it is much better than a three hour delay as seen in the case study above.
Don’t let a similar situation be your demise.

For electric cooperatives, consumer engagement remains critical to continued success. Social media allows you to be involved with members on a personal level. Many people view smartphones and other mobile devices as an extension of themselves. They’re connected—and they expect you to be connected, too.
To toss up a social media presence without proper management or trained communications people to guide content is a recipe for disaster; however choosing to avoid social media can prove to be as catastrophic.
The need for electric utility social media presence is best demonstrated during Crisis communication. Social media allows for fast, fact driven, controlled communication. During a major outage the worst thing a utility company can do is not provide regular up to date information with customers. Getting information from traditional media outlets alone is no longer acceptable.
When customers see that they are one of thousands currently without power or can see pictures of miles of downed poles and lines that information can greatly influence their expectations for restoration. It can also greatly influence traditional media expectations. Social media communication during prolonged outages has also been proven successful in deflecting inquiries to the call center and helping improve call center response time. Social media outage information gets shared by other organizations, the media and individuals, all helping your information reach a greater number of people in a timely fashion.
Not to be forgotten are the marketing opportunities, corporate branding and general community outreach.
The social media conversation will take place with or without you. “Doing nothing” has never been the answer to managing your brand. Being actively involved puts you in the conversation. It lets you tell your story with facts and better control of the message.
No matter what you do you will never create 100% customer satisfaction. Someone will make a negative comment on one of your channels. Some negative comments turn out to be a positive, offering the chance to transform an angry customer into a brand ambassador. More often than not your engaged fans will defend you if someone is bashing without a reason. If you opt not to establish a social media presence, your members can still post unflattering things about you online. What’s the advantage of providing a place for your members to talk about you online? It puts you in the conversation. They will establish a reputation for you even if you aren’t out there to share the facts. Your story will be told even if you “do nothing.”

Why are so many powerful people oblivious to the potent, negative power of social media? Every day there is a new crisis communication case study and today it is from Aaron Schock, who has resigned as Congressman from Illinois.
Schock created his own crisis with excessive selfies and posts on social media, showing him engaged in a rather lavished lifestyle of travel. This raised questions about whether taxpayers were footing the bill for his fun.
Tip 1: Establish guidelines for what should be posted and what should not be posted as an official representation of the corporation and the leadership of that organization.
Tip 2: Review your current social media policy for all employees to make sure best practices are being followed. If you don’t have a social media policy for employees, make it a priority to write one.
Tip 3: In a corporate environment, require that three people concur about an image or post before it is shared on social media. Get feedback from one another to measure positive and negative reaction before anything goes online.

Secret Service Director Joseph Clancy said it took five days before he was informed that a car carrying two agents struck a security barrier outside the White House.
How long does it take in your company for you to find out about an event that could be a potential crisis that requires you to implement your crisis communications plan and begin communicating with the media, employees, customers and other stakeholders?
Most public relations people tell me it is a constant challenge for the home office, leadership, and PR staff to find out what is going on in the field. Often, you find out only because the rest of the world has already found out and the issue is getting negative attention on social media or with the mainstream media.
How do you change this? It begins with new policies and procedures, supported by employee training, as outlined in the five tips below.
The reality is that the average employee, supervisor or manager is mostly afraid that they will get in trouble if they report a problem, large or small.
But an unreported problem creates problems for those of you who are the company expert in public relations, crisis communications and media relations.
Ultimately, you need to know about events that could damage the company’s reputation and revenue.
What are your solutions?
Tip 1: Conduct training programs that inform employees about the need to protect the company’s reputation and revenue through good reporting. Many employees and leaders never really make the full connection to the bottom line. Help them.
Tip 2: Establish an easy way for employees to notify the home office of a potential problem.
Tip 3: Train employees to get in the habit of using that notification method.
Tip 4: Provide positive recognition for employees who use the reporting mechanism and appropriate repercussions for employees who fail to report an event that could damage either reputation or revenue.
Tip 5: Do your part to speed communications by spending time on a clear sunny day to write a library of pre-written, fill-in-the-blank news releases so that you are not responsible for delaying crisis communications.
Crisis communications is a team effort and the team needs to be built for speed, both in the field and in the public relations office. One way to address this is to use the current Secret Service headlines to open a discussion with your executive staff.

Today’s crisis communications tip looks at what happens when angry customers take to Facebook to complain about your company. Complaints on your Facebook page or complaints on a Facebook group page built for and by the complainers is creating public relations problems for companies.
All of us can learn from this perfect crisis communication lesson — It can be found at every utility company, where customers who are angry about their high winter bills and are venting their frustration and anger on Facebook.
Many utility companies do exactly what they should not do: They do nothing.
The men and women in leadership positions at both investor owned electric companies and rural electric cooperative companies have spent decades practicing the art of hope, as in, “I hope this just goes away.”
Hope is not a crisis communications strategy, especially in the age of social media.
However, engaging with these angry customers on Facebook can be problematic because social media is filled with traps.
Trap 1: If you comment on a post that is either positive or negative, it can lead to an exponentially high number of negative responses.
Trap 2: If you comment on any Facebook posts, it sends it to the top on everyone’s news feed.
What do you do?
Solution One: Fix the problem and/or make the anger and hostility go away. The reality is there will never be a refund for electricity used. And chances are, the customer has forgotten that their bill was likely this high during the coldest month of the year 12 months ago and just as high during the hottest month of the year six months ago. But they would rather blame their electric company than to take personal responsibility.
The solution is to manage the expectations of the customer by eliminating the peaks and valleys in their bill by offering an option to have what many companies call bill averaging or bill levelization. It means the customer will see nearly the same amount on their bill every month. Often, it will reduce this month’s $400 bill to an easier to pay $250 bill, which makes the customer happier.
Solution Two: Take the discussion offline. In many cases, the best way to handle an angry customer is to have customer service pick up the phone and call them directly. Customer service is able to demonstrate the type of soothing, personal concern that would be lost on a Facebook post.
Make the Crisis Go Away
The problem with the, “I hope it goes away” philosophy is that the problem will go away within the next two months as spring arrives and many customers use little, if any heating or air conditioning. But the problem will return during the hottest month of the year, then go away, then return next winter.
If you have a solution that can make the crisis go away once an for all, then by all means do it.
